About this document

This privacy notice explains how Inspired Education Holdings Limited ("Inspired Education Group", “Group”, "we", "our", "us") collects, uses and shares your personal data, and your rights in relation to the personal data we hold. The Group globally manages the selection processes of all the schools and other entities within the Group. This privacy notice concerns our processing of personal data of job applicants and candidates for roles at the Group and any schools within the Group ("you", "your"). 

If your job application is successful and you accept our offer of employment or another form of engagement with us at a school or other entity within the Group, then your personal information will be processed in accordance with the relevant Privacy Notice for Staff.

The Inspired Education Group is a company registered in England and Wales (registered company number 10392529). Our registered office is at Sixth Floor, 3 Burlington Gardens, London, United Kingdom, W1S 3EP. The Group is the controller of your personal data and is subject to the Data Protection Act 2018 (“DPA”) and the UK General Data Protection Regulation (the "UK GDPR"). The Group may change and update this Privacy Notice from time to time.  

How we collect your information

We may collect your personal data in a number of ways, for example:

  • from the information you provide to us when you register as a user on our Global Careers Site (here), and when you interact with us before making an application to work for us;
  •  when you submit a formal application to work at a school or other entity within the Group; 
  • from third parties, for example your previous or current employers, in order to verify details about you and/or your application to work for us; and
  •  in various other ways as you interact with us during the application process (including during interviews) and afterwards, where relevant, for the purposes set out below.

The types of information we collect

We may collect the following types of personal data about you:

  • the information you have provided to us when registering as a user on our Global Careers Site, including your name, address and contact information;
  •  the information included in your application for a role, including: 
    • your name, title, gender, contact details, nationality, date of birth, location, identification number and family details;
    • details of your education and references from your institutions of study;
    • work-related information, including details of your work history, references from your previous employer(s) and any other information you provide as part of your application;
    • any other information relevant to your application to work for us, including your right to work in a particular jurisdiction.
  • the information from any background and social media checks.

We may also collect special categories of data and information to the extent it is necessary for a lawful purpose in connection with your application, including:

  • information concerning your health and medical conditions (for example, dietary needs, or to make reasonable adjustments to the application process);
  • information about certain criminal convictions (for example, where this is necessary for due diligence purposes, or compliance with our or a school’s regulatory obligations or employment law).

How we use your information

The purposes for which we may use personal data (including sensitive personal data, as applicable) include:

  • providing you with information about the Group or schools and other entities within the Group;
  • administering job applications, assessing your skills, qualifications and suitability for the role you have applied for, communicating with you about the recruitment process and, where relevant, offering you a job with us;
  • ascertaining your fitness to work, including checking you are legally entitled to work in the relevant jurisdiction, all in compliance with applicable immigration laws, regulations and requirements;
  • carrying out appropriate due diligence checks (including criminal background checks and social media checks) on you during the application process, including by checking references in relation to your education and your employment history; and 
  • considering if we need to provide appropriate adjustments during the recruitment process.

We may process sensitive / special category personal data, for example concerning your health and medical conditions in order to ensure that reasonable adjustments are put in place for the purpose of the application process and take decisions as your fitness for work. 

The basis for processing your information 

We may process your personal data for the above purposes because:

  • it is necessary to enable us to decide whether to enter into or perform a contract of employment (or equivalent) with you;
  • it is necessary for our or a third party's “legitimate interests”, which include our commercial interests in operating the Group (including the schools and other entities within the Group) in a professional, sustainable manner, in accordance with all relevant legal requirements;
  • it is necessary for the establishment, exercise or defence of legal claims;
  • we have your specific or, where necessary, explicit consent to do so; and 
  • it is necessary for compliance with our legal obligations, including to exercise or perform any right or obligation conferred or imposed by law in connection your prospective employment or other engagement with us, or for the prevention and detection of crime, including in order to assist with investigations carried out by the police and other competent authorities.

Sharing your information with other

For the purposes referred to in this privacy notice and relying on the bases for processing as set out above, we may share your personal data (where necessary) with certain third parties, including:

  • the school or other entity within the Group to which you are applying;
  • other employees, agents and contractors of the Group where there is a legitimate reason for their receiving the information, including third parties where we have engaged them to process data on our behalf as part of administering recruitment services (e.g. providers of background checks);
  • internal and external auditors, legal advisers and other third party service providers (for example, IT and HR platforms and suppliers); and
  • relevant public authorities when the Group is legally required to do so (by a court, government body, law enforcement agency or other authority of competent jurisdiction).

International data transfers

We may transfer your personal data around the world on an ad hoc basis, for example where you are applying for a position at a school located outside of the UK. If we are required to transfer your personal data outside the UK and/or European Economic Area (EAA), we will consider whether any additional measures are required in order to give adequate protection for the information when it is transferred.

How long your information is kept

We will retain the data provided when registering as a user on the Global Careers Site for as long as you keep your user account active. Your user account will be deactivated if it is inactive for a period of 12 months. 

If your job application is successful and you accept our offer of employment or another form of engagement with us, then your personal information will be retained and processed for the purpose of your role in accordance with the applicable  Privacy Notice for Staff. If you are not offered a job, or if you do not ultimately take up a role with us, we will retain your personal information for a period of up to one year after our last interaction with you concerning the role you have applied for, except where we have notified you that we intend to keep it for longer (and you have not objected). 

Your rights

You have the following rights:

  • to obtain access to, and copies of, the personal data that we hold about you;
  • to require us to correct the personal data we hold about you if it is inaccurate;
  • to require us (in certain circumstances) to erase your personal data;
  • to request that we restrict our data processing activities (and, where our processing is based on your consent, you may withdraw that consent, without affecting the lawfulness of our processing based on consent before its withdrawal);
  • to receive from us the personal data we hold about you which you have provided to us, in a reasonable format specified by you, including for the purpose of you transmitting that personal data to another data controller;
  • to object, on grounds relating to your particular situation, to any of our particular processing activities where you feel this has a disproportionate impact on your rights. 

Please note that the above rights are not absolute, and we may be entitled to refuse requests where exceptions apply. You can find out more about your rights under applicable data protection legislation from the relevant data protection authority, for example if you are based in the UK you may want to refer to the Information Commissioner’s Office website available at www.ico.org.uk
